Your privacy is important to us and it is our policy that your personal information is private and confidential. This privacy statement details what data we collect from you and how we use it.
We do not collect, use or disclose your personal information for any purposes other than those identified below, except with your consent or as required by law.
Please read this privacy statement before using the site or providing us with any personal information. These practices may be changed, but any changes will not alter how we handle previously submitted personal information.
The information we collect
We collect basic personal information about you such as your name, company information, mailing address, email address or telephone number.
If registering an interest in our services, we may match the information provided with other publicly available data that enhances our understanding of you or the business you work for (e.g. company financials and job titles).
If applying for a vacancy we will also collect information about salary expectations and previous work history, in the form of a Curriculum Vitae.
Who is collecting it
Mill Street Properties Limited will be what’s known as the ‘Controller’ of the personal data you provide to us. The data protection officer at Mill Street Properties Limited is Managing Director, John Ridgway.
How is it collected
Personal information is collected only when you voluntarily provide it. Such information is received when you send us an email or enquiry form, call in to or otherwise engage with our staff members, or make some other specific contact (such as completing an online form, applying for a vacancy, signing a contract, participating in a survey, signing up for an event, or registering to receive electronic communications).
If registering interest in becoming a dealer, enhanced profiling information (company financials, job titles) may be added by our team from publicly-available sources such as LinkedIn or Companies House as part of a qualification process to better understand how Mill Street Properties Limited might service your requirements.
Why we collect it
We collect personal data such as your name, company information, mailing address, email address or telephone number, as well as enhanced profiling information such as company financials and job titles in order to operate effectively as a business.
We will not collect any personal data we do not need in order to provide and oversee our services to you.
How it will be used
Your personal information is used only to respond to or facilitate your immediate interest in our services, unless you opt in to receiving further communications. In this case these communications come solely from Mill Street Properties Limited and we will only send communications as defined by you.
Who it will be shared with
If registering interest in our services (via an enquiry for example), the personal information you provide will be stored in a Customer Relationship Management system (CRM) and made available only to the person(s) equipped to handle your request.
If you are registered to receive emails, your information will additionally be stored securely in an Email Marketing Service (EMS), again made available only to the person(s) necessary to respond to this registration.
If you have submitted an application for a vacancy and/or registered your interest in future vacancies, your information will be stored in a separate system, dedicated to the storage of HR information, and will only be made available to the person(s) equipped to handle this contact.
In all cases, personal information is not otherwise sold or shared with any third parties.
How long it will be kept for
If you have made an enquiry, called in or otherwise engaged with our staff members we will keep your personal information (name, address, contact details, profiling information) for up to 36 months from the point at which you disengaged with us. After this time it will be anonymised so as to no longer be personal to you and/or deleted.
If you have supplied personal information for marketing purposes (through registering for a newsletter for example) it will be kept until you notify us that you no longer wish to receive these communications.
Personal information supplied as part of a contract signature process will kept in line with the contract retention period, typically seven years from end of service provision.
If you have supplied personal information in applying for a vacancy it will be kept for 6 months after the end of the recruitment process for that role unless you have asked to be contacted in future about other such vacancies. In the case of having registered for future contact, your details will be retained until such point as you notify us otherwise.
How you can update it
If at any point you believe the information we hold about you is incorrect you can request to see this information and have it corrected, restricted or deleted by emailing us at firstname.lastname@example.org. An unsubscribe option is additionally included in every marketing email you receive.
If you wish to raise a complaint on how we have handled your personal data, you can contact us to have the matter investigated at email@example.com.
